KINGZ HAVEN Privacy Policy

1. Who we are

KINGZ HAVEN is an independent housing-navigation, program-support, housing-operations and technology initiative operated by Kingz Vision Media LLC, operating KINGZ HAVEN. This Privacy Policy explains how KINGZ HAVEN handles information in its websites, forms, housing-navigation services, Partner Services, verified housing inventory work, and approved technology workflows.

Kingz Haven is an independent housing-navigation and program-support initiative operated by Kingz Vision Media LLC. Kingz Haven is not NYC DSS, HRA, DHS, HPD, NYCHA, or another government agency and does not imply government endorsement, authorization, or affiliation. Kingz Haven does not determine voucher eligibility, approve subsidies, certify units, or guarantee placement. Housing and program decisions remain with the applicable agency, provider, owner, or management entity.

2. Information we may collect

• Contact and identity information, such as name, email, phone number, preferred contact method and household contact details.
• Housing-navigation and program information, including housing needs, household composition, readiness status, voucher/program information, deadlines, tasks and case notes.
• Documents a person chooses or is authorized to provide, which may include identification, benefits/program documents, income or household documents, housing applications and supporting records.
• Property and listing information, including address, bedroom count, rent, utilities, availability, program compatibility, application requirements and owner/management contact information.
• Partner and agency information, including organization contacts, staff users, program configurations, workflow records and reporting information.
• Technical information such as device/browser information, security logs, authentication records, access history and service diagnostics when applicable.
• Communications and signature workflow information sent through approved email, phone/SMS or e-signature providers.

3. How information is collected

• Directly from clients, household members, staff, partners, owners, property managers, brokers or authorized representatives.
• Through approved intake/listing forms, Google Workspace, email, phone/SMS, DocuSign and other approved tools.
• From official program guidance and verified public sources used for the KH Knowledge & Resource Center.
• Through HOS/KHHH only when the applicable environment, data type and production gate authorize that use.

4. Why we use information

• Provide housing-navigation and program-support services requested by a client or partner.
• Assess readiness, organize tasks and documents, support housing search and facilitate permitted application/placement workflows.
• Verify and maintain housing inventory and property/partner records.
• Operate Partner Services, reporting, training and workflow support.
• Maintain security, access control, auditability, incident response, fraud/abuse prevention and service reliability.
• Improve products and operations using approved, appropriately scoped data. Synthetic or de-identified information is preferred for development and testing.
• Comply with applicable legal, contractual, accounting and recordkeeping obligations.

5. Sharing and service providers

KINGZ HAVEN may share information only as reasonably necessary for the service, as authorized by the person or partner, as required by law, or with approved service providers operating under applicable agreements and controls. Current systems may include Google Workspace, Jotform, DocuSign, Resend, Telnyx, Supabase, Render, OpenAI and other approved vendors. The exact production vendor set and authorized data categories are maintained in the KH Vendor / Subprocessor Register.

KINGZ HAVEN does not treat an AI model as an authority. AI systems may receive only the information and tools allowed by KH authorization and the applicable data-use rules. Production case reasoning or external provider actions remain subject to the applicable security gate and human approval.

6. Brokerage boundary

KINGZ HAVEN is not a real estate brokerage. Licensed real estate brokerage services are provided separately through Blonde New York LLC and appropriately licensed real estate professionals. KINGZ HAVEN housing-services, technology, referral and administrative functions are separate from licensed brokerage activity.

7. Data security and access

KINGZ HAVEN uses administrative, technical and operational controls intended to limit access to authorized people and systems. These controls include role/organization scoping, controlled documents, human approval for consequential external actions, provider access controls, audit practices and environment separation. No security method eliminates all risk, and KH continues to close hosted production gates before unrestricted real-client use of HOS/KHHH.

8. Retention and deletion

KINGZ HAVEN retains information for the period reasonably needed for the service, legal/contractual obligations, security, dispute resolution and approved business records. The KH Data Retention & Deletion Policy governs operational retention. Legal holds, partner contracts, program rules and applicable law may require longer retention. When deletion is authorized, KH uses a controlled process appropriate to the system and data type.

9. Individual requests

A person may contact KINGZ HAVEN to request access, correction, deletion or restriction where applicable and appropriate. KH will verify the requester and evaluate the request under applicable law, contract, program requirements, security needs and recordkeeping obligations. Some records may not be deletable immediately where retention is legally or operationally required.

10. Children and minors

KINGZ HAVEN services may involve households that include minors, but accounts and authorizations should be handled by an adult client, legal guardian, authorized representative or participating agency unless an approved program specifically provides otherwise. KH does not intentionally invite minors to create independent accounts where parental/guardian or agency authorization is required.

11. Changes to this policy

KINGZ HAVEN may update this Privacy Policy when services, vendors, legal requirements or data practices change. The effective date and version should be displayed with the published policy. Material changes should be reviewed through the KH legal/privacy governance process.
